    We are seeking an Office Manager who operates with an ownership mindset — someone who takes responsibility for the smooth operation of the clinic, supports the team, and ensures our standards of excellence are upheld every day.

    Position Overview

    The Office Manager serves as the operational leader of the clinic, responsible for maintaining organization, overseeing team operations, and ensuring the clinic runs smoothly from both a business and client experience perspective.

    This role requires someone who is organized, decisive, and comfortable leading people while remaining hands-on in daily operations.

    While the Case Manager focuses on clinical results and the Client Success Manager protects the client experience, the Office Manager ensures that the entire clinic operates efficiently, professionally, and according to the systems of the business.

    This position requires someone who is proactive, solutions-oriented, and capable of stepping in wherever needed to support the success of the clinic.

    Key Responsibilities

    Clinic Leadership & Oversight

    Oversee the daily operations of the clinic

    Ensure systems and procedures are followed consistently

    Support team members and maintain accountability to clinic standards

    Address operational challenges and resolve issues quickly

    Be available to manage unexpected situations or emergencies that arise

    Make final operational decisions in complex or sensitive situations

    Team Leadership & Accountability

    Provide leadership and support to clinic staff

    Maintain a professional, positive, and accountable team environment

    Assist with staff scheduling and operational coordination

    Address employee concerns and help resolve workplace issues

    Ensure all team members are meeting performance expectations and KPIs

    Financial Oversight

    Oversee client payments and financial accuracy

    Handle discrepancies in payments, billing concerns, and account issues

    Review and approve refunds when appropriate

    Ensure payment plans and client accounts are managed correctly

    Complete monthly financial closeouts and reporting

    Maintain organized and accurate financial documentation

    Scheduling & Workflow Management

    Oversee and manage the clinic schedule

    Ensure scheduling supports efficient client flow

    Adjust schedules when needed to maintain clinic efficiency

    Prevent scheduling conflicts and operational bottlenecks

    Corporate Communication

    Maintain communication with corporate leadership

    Provide updates on clinic operations and performance

    Ensure corporate systems, policies, and standards are implemented properly

    Work with leadership to maintain operational efficiency and clinic success

    Client Experience

    Remain client-facing and supportive of the clinic experience

    Assist clients when needed and ensure concerns are addressed appropriately

    Maintain the elevated, welcoming environment our clients expect

    Scheduling, payments, and operations are organized and accurate

    Payment discrepancies and client concerns are handled professionally

    Position Overview

    The Client Success Manager is responsible for client experience, retention, and daily office flow. This role ensures that clients stay consistent with their care plans, feel genuinely supported, and experience a positive, organized, high-end environment from the moment they walk in.

    While our Case Manager focuses on clinical results inside the treatment rooms, the Client Success Manager protects the plan by managing scheduling, accountability, communication, and office operations.

    This role requires someone who follows processes thoroughly, executes systems exactly as designed, and brings positive energy and enthusiasm to every interaction.

    Key Responsibilities

    Client Experience & Retention

    • Greet clients and manage check-in/check-out with professionalism and warmth

    • Ensure clients are scheduled correctly and remain on track with their programs

    • Proactively follow up with clients who miss appointments or fall behind

    • Reinforce Case Manager recommendations and treatment plans

    • Celebrate client progress and maintain consistent encouragement

    • Maintain personalized touchpoints and relationship continuity

    Office Operations & Organization

    • Oversee daily front desk operations with precision

    • Manage scheduling and clinic flow to prevent bottlenecks

    • Coordinate supplements and client resources accurately

    • Maintain an immaculate and elevated office environment

    • Ensure no task, communication, or detail falls through the cracks

    • Support the Case Manager with administrative procedures so they can focus on clinical care
