We are seeking an Office Manager who operates with an ownership mindset — someone who takes responsibility for the smooth operation of the clinic, supports the team, and ensures our standards of excellence are upheld every day.

Position Overview

The Office Manager serves as the operational leader of the clinic, responsible for maintaining organization, overseeing team operations, and ensuring the clinic runs smoothly from both a business and client experience perspective.

This role requires someone who is organized, decisive, and comfortable leading people while remaining hands-on in daily operations.

While the Case Manager focuses on clinical results and the Client Success Manager protects the client experience, the Office Manager ensures that the entire clinic operates efficiently, professionally, and according to the systems of the business.

This position requires someone who is proactive, solutions-oriented, and capable of stepping in wherever needed to support the success of the clinic.

Key Responsibilities

Clinic Leadership & Oversight

Oversee the daily operations of the clinic

Ensure systems and procedures are followed consistently

Support team members and maintain accountability to clinic standards

Address operational challenges and resolve issues quickly

Be available to manage unexpected situations or emergencies that arise

Make final operational decisions in complex or sensitive situations

Team Leadership & Accountability

Provide leadership and support to clinic staff

Maintain a professional, positive, and accountable team environment

Assist with staff scheduling and operational coordination

Address employee concerns and help resolve workplace issues

Ensure all team members are meeting performance expectations and KPIs

Financial Oversight

Oversee client payments and financial accuracy

Handle discrepancies in payments, billing concerns, and account issues

Review and approve refunds when appropriate

Ensure payment plans and client accounts are managed correctly

Complete monthly financial closeouts and reporting

Maintain organized and accurate financial documentation

Scheduling & Workflow Management

Oversee and manage the clinic schedule

Ensure scheduling supports efficient client flow

Adjust schedules when needed to maintain clinic efficiency

Prevent scheduling conflicts and operational bottlenecks

Corporate Communication

Maintain communication with corporate leadership

Provide updates on clinic operations and performance

Ensure corporate systems, policies, and standards are implemented properly

Work with leadership to maintain operational efficiency and clinic success

Client Experience

Remain client-facing and supportive of the clinic experience

Assist clients when needed and ensure concerns are addressed appropriately

Maintain the elevated, welcoming environment our clients expect

Staff members are meeting performance expectations and KPIs

Scheduling, payments, and operations are organized and accurate

Payment discrepancies and client concerns are handled professionally

Operational issues are resolved quickly and effectively
