Client Success & Operations Lead (Hybrid Role)

This is a hybrid role combining Client Success and light operational leadership.

It is designed for a high-performing individual who can manage the client experience and take ownership of key operational functions as the clinic grows.

You are not just executing tasks — you are helping the clinic run.

You protect the client experience AND help ensure the operation stays on track.

Where This Role Fits

  • The Case Manager builds the plan (clinical results)

  • This role protects the plan AND supports the operation

  • This role is the bridge between front desk execution and operational ownership

This is not a full Office Manager role —

but it is the first step toward one.


What You Actually Do

Client Experience & Retention (Primary Responsibility)

  • Greet clients and manage check-in/check-out with professionalism and energy

  • Ensure clients are scheduled correctly and stay consistent with their plans

  • Follow up with missed appointments and maintain accountability

  • Reinforce Case Manager recommendations and treatment plans

  • Build strong relationships and maintain consistent communication

Accountability & Communication

  • Keep clients engaged, consistent, and supported

  • Ensure nothing falls through the cracks — scheduling, communication, or follow-up

  • Maintain accurate and timely documentation

Operations Support (Secondary Responsibility)

  • Support daily clinic operations and flow

  • Assist in identifying scheduling inefficiencies or bottlenecks

  • Help maintain organization of systems, supplies, and workflow

  • Flag operational issues early and communicate proactively

  • Step in to help solve problems when needed

Light Team & Workflow Support

  • Help maintain accountability to systems and standards

  • Assist with coordinating schedules and daily flow

  • Support leadership in keeping operations consistent and organized


What Success Looks Like

  • Clients show up consistently and stay on plan

  • Scheduling is clean, accurate, and efficient

  • The front of house runs smoothly and professionally

  • Small operational issues are identified and solved early

  • Nothing is missed, forgotten, or loosely executed

  • Leadership is not pulled into daily operational problems
